Terms & Conditions

These terms and conditions outline how I work with clients at Ella Rose Studio, from the initial design stages through to the production and delivery of your stationery. By proceeding with an order, you agree to the terms below.

1. Pricing and payment

All prices are quoted in pounds sterling (£). Your quotation will outline the design fees and the estimated cost of your chosen stationery, printing and any additional items or services.

A deposit is required to secure your place in my diary and begin the design process. The payment schedule and relevant deadlines will be outlined in your quotation or invoice.

The remaining design fee and any outstanding balance must be paid by the agreed deadlines. Full payment for printing and production is required before your stationery is sent to print.

Any additional work requested outside the agreed scope of your quotation may incur extra charges. These will be discussed and agreed with you before the work proceeds.

2. Bespoke design and creative direction

Every wedding is different, and I want your stationery to feel personal to you and your day. I’ll take the time to understand your ideas, style and vision before creating a design that brings everything together.

For bespoke wedding stationery, I’ll share an initial design with you based on our conversations and the details you’ve provided. From there, we’ll work together to refine the design, making adjustments and amendments until you’re happy with the finished result.

The design process is collaborative, and I want you to feel confident and excited about what we create together. To help keep everything on track, I ask that feedback is clear and sent over in a timely manner.

If your ideas or requirements change significantly after the initial design has been created, or you would like to explore a completely different creative direction, additional charges may apply. I’ll always discuss any extra costs with you before carrying out further work.

3. Proofs, revisions and approval

I’ll share digital proofs throughout the design process so you can review the details and let me know if anything needs adjusting. We’ll work through any amendments together until you’re happy to approve the final design.

Please try to gather feedback into one email wherever possible, particularly if family members or other suppliers are involved. This helps keep the process clear and avoids conflicting instructions.

You are responsible for carefully checking all wording and details, including names, spellings, dates, times, venue details, addresses and any other information included in your stationery.

Once you’ve approved the final artwork, it will be prepared for print or production. Please check everything thoroughly before giving your approval, as changes requested after sign-off may not be possible or may incur additional design and production costs.

If changes are needed after final approval and can still be accommodated, these will be quoted separately before any additional work is undertaken.

4. Final approval

Your final approval confirms that you are happy for the artwork to proceed to print or production.

Once approval has been given, Ella Rose Studio cannot accept responsibility for errors or omissions that were present in the approved artwork, including spelling mistakes, incorrect dates or missing information.

Please take the time to review every detail carefully before signing off your designs. If you are unsure about anything, please ask before approving the final proofs.

5. Colour, materials and printing

I work with trusted print and production partners to bring your stationery designs to life. Every effort is made to ensure the finished pieces reflect the approved artwork as closely as possible.

However, colours can vary between computer screens, digital proofs and printed materials. Differences may also occur due to paper stock, printing processes, inks and the natural characteristics of certain materials.

Exact colour matching cannot be guaranteed, particularly when working with different paper stocks, finishes or production methods. This includes items such as Foamex signage, where an exact match to printed stationery may not always be possible.

Where colour accuracy or material choice is particularly important, I recommend requesting physical samples before proceeding with the full order. Please note that samples may incur an additional cost.

6. Handmade and printed items

Some items offered by Ella Rose Studio may be hand-painted, illustrated or individually finished. Small variations in colour, texture, placement and finish can occur as a natural part of the creative process.

These variations are part of the character of handmade work and should not be considered defects where they fall within the expected nature of the product.

Where items are produced by external printers or manufacturers, minor variations between batches may also occur.

7. Timings and turnaround

Each project is different, and timings will depend on the complexity of the design, the number of items ordered, the speed of feedback and the production process.

As a guide, the overall process for bespoke wedding stationery typically takes around 6–8 weeks. This includes the design stages, proofing, approval and production. More complex orders may require additional time.

These timings are estimates rather than guaranteed delivery dates. I will provide an expected timeline when your order is confirmed and keep you updated if anything changes.

To help keep your project on schedule, please return feedback, final wording and approvals within the agreed timeframes. Delays in receiving information or approval may affect the production and delivery date.

If your wedding date is approaching or you require a particularly short turnaround, please discuss this with me before placing your order.

8. Communication and client responsibilities

Good communication helps ensure the process runs smoothly. Please nominate one main contact for your project wherever possible and gather feedback from anyone else involved before sending it to me.

You are responsible for providing all required information, including final wording, guest names, dates, venue details and any other content needed to complete your stationery.

Please check that all information supplied is accurate and complete. Delays in receiving information, feedback or approval may affect the project timeline.

I will do my best to respond to messages within a reasonable timeframe, although response times may vary during busy periods.

9. Changes to your order

Changes to quantities, paper stocks, finishes, products or other specifications may affect the final price and production timeline.

If you would like to make changes after your quotation has been accepted, I will confirm any additional costs and timing implications before proceeding.

Once an order has been sent to print or production, changes may no longer be possible. If changes can be accommodated, you may be responsible for additional design, printing or production costs.

10. Cancellations and refunds

If you need to cancel your order, please contact me as soon as possible in writing.

The amount payable following cancellation will depend on the stage your project has reached, the work already completed and any costs committed to third-party suppliers or production partners.

Design work completed up to the cancellation date, and any non-recoverable costs already incurred, may be charged accordingly. Deposits or payments are not automatically refundable where they relate to work already completed or costs already committed.

Where printing or production has begun, costs associated with work already undertaken or materials ordered may remain payable.

Nothing in these terms affects any statutory rights you may have under applicable consumer law.

11. Printing, production and quality checks

Before your stationery goes to print, you will be asked to approve the final artwork.

Once approved, the files will be prepared for production and supplied to the relevant print or production partner. I work with trusted suppliers and take care to check finished items for quality before they are dispatched wherever the production process allows.

Please note that production times can vary depending on the supplier, the materials selected and the complexity of your order.

12. Delivery and postage

Delivery costs will be included in your quotation or confirmed separately before your order is placed.

Where possible, finished stationery will be carefully packaged and sent using a tracked delivery service. Delivery dates are estimates and may be affected by courier delays or circumstances outside my control.

Please ensure that the delivery address provided is correct and that someone is available to receive the parcel where necessary. Additional charges may apply if a parcel needs to be redirected or resent due to incorrect delivery information.

If you have a specific delivery deadline, please let me know before confirming your order so that this can be considered when planning your timeline.

13. Checking your order on arrival

Please check your stationery as soon as it arrives.

If any items are missing, damaged or appear to have a production fault, contact me as soon as possible, ideally within 48 hours of delivery. Please include clear photographs of the issue and the packaging so that I can investigate it with the relevant supplier or courier.

I will assess the issue and work with you to find an appropriate resolution in line with your statutory rights. Please do not discard damaged items or packaging until the issue has been reviewed.

Minor variations in colour, paper texture or handmade finishes, as described above, are not necessarily production faults.

14. Photography and promotion

I love seeing finished stationery in place and may wish to photograph completed work for my portfolio, website or social media.

Unless you tell me otherwise in writing, I may use photographs of your finished stationery and design work for promotional purposes. I will take care not to share private personal information unnecessarily.

If you would prefer your stationery not to be featured publicly, please let me know before your project is completed. This will not affect the service you receive.

15. Intellectual property and design ownership

All original designs, illustrations, artwork and creative concepts produced by Ella Rose Studio remain the intellectual property of Ella Rose Studio unless otherwise agreed in writing.

Payment for a design does not automatically transfer ownership of the original artwork or working files. Editable files, source files and unused design concepts are not included unless specifically agreed.

Your final approved design is supplied for the agreed purpose and use, such as your wedding stationery or commissioned project. It may not be reproduced, altered, resold or used for other commercial purposes without prior written permission.

Where third-party illustrations, fonts, images or other licensed assets are used, their respective licence terms will also apply.

Ella Rose Studio reserves the right to feature your stationery on promotional material and it’s website, but will never disclose your personal details.

16. Use of supplied content

You are responsible for ensuring that any wording, photographs, illustrations, logos or other materials you provide are accurate and that you have permission to use them.

Ella Rose Studio cannot accept responsibility for claims arising from the unauthorised use of materials supplied by a client.

17. Third-party suppliers

Ella Rose Studio works with external printers, manufacturers and delivery partners to fulfil orders. While I take care when selecting suppliers and managing production, some aspects of the process are outside my direct control.

If a supplier delay or issue affects your order, I will communicate this to you and do my best to find a suitable solution.

Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited.

18. Unforeseen circumstances

Occasionally, circumstances outside my reasonable control may affect the design, production or delivery of your order. These may include supplier delays, courier disruption, material shortages or other unexpected events.

If this happens, I will let you know as soon as reasonably possible and discuss the available options with you.

19. Agreement to these terms

By accepting a quotation, paying a deposit or instructing Ella Rose Studio to begin work, you confirm that you have read and agreed to these terms and conditions, alongside any project-specific details set out in your quotation or invoice.

If anything is unclear, please ask before proceeding. I want the process to feel straightforward, enjoyable and considered from the first conversation through to receiving your finished stationery.

20. Contact

If you have any questions about these terms or your order, please contact Ella Rose Studio using the contact details provided on my website or in your quotation.

Thank you for choosing Ella Rose Studio. I’m delighted to be part of bringing your ideas to life.
